Capturing Leads from The Knot + Wedding Wire

You can now funnel leads directly from The Knot + Wedding Wire into your Planning Pod account without any manual entry. 

The key to capturing your wedding pro leads? You MUST have your email address associated with those accounts connected to Planning Pod's Communications tool. Once that email address is connected, Planning Pod will import your lead information from The Knot + Wedding Wire emails into your Leads tools without you having to lift a finger. For more about connecting your external email address to Planning Pod, see Setting Up your Email Address in Planning Pod

How to Capture Leads from The Knot + Wedding Wire

  1. Log into your Planning Pod account.
  2. Click on your name in the main menu > Settings. 
  3. Under the Leads heading, select Capture Your Wedding Pro Leads (The Knot + Wedding Wire).
  4. In the Activate panel, click to toggle "Yes" underneath "Attempt to capture leads from your wedding pro account?".
  5. A panel will appear reminding you to connect your external email address to Planning Pod if you haven't already. 
  6. Under the When Lead is Captured heading, click the pencil icon to the right of any of the following actions to edit what happens when capturing your wedding pro leads:
    • Set Lead Source
    • Set Sales Pipeline Position
    • Assign Tags
    • Assign New Contact a Label
    • Assign Users
    • Notify Users
    • Send Automated Reply Email
    • Import To-Do Lists

Once you have completed this process, Planning Pod will automatically import your wedding pro lead information from The Knot + Wedding Wire emails into your Leads tools. 

Important Things to Keep in Mind 

Though Planning Pod can pull in leads from Wedding Wire or The Knot, but there are a few important things to keep in mind since this is not a true integration:

  1. Leads come in via connected email only

    • The system pulls in leads from the “New Lead” email sent by Wedding Wire or The Knot.

    • If you don’t have an email connected in Planning Pod, leads will not be imported.

  2. Client email addresses may need updating

    • Because leads are imported via email, the client’s email address may not be correct.

    • To fix this, go to your Contacts tab, locate the new contact, and update the email address to the correct one.

  3. Occasional email changes from Wedding Wire can pause imports

    • Wedding Wire sometimes updates how their emails are formatted. This can temporarily stop leads from coming into Planning Pod.

    • If this happens, send us the most recent “New Lead” email, and our team can make sure the system continues pulling in leads.

  4. Rename new leads for clarity

    • To keep your leads organized, give them a specific, descriptive name when they come in.

    • Example: "Maddie and Jackson’s Wedding" or "Longmont High School Class of ’95 Reunion".

  5. Start a new email when reaching out

    • When contacting a lead in Planning Pod, start a new email rather than replying to the original Wedding Wire email.

    • This ensures the email is delivered correctly, and any responses will come back into Planning Pod, as long as you have a connected email set up in your Communication Settings.
